FINISH STRONG! Effective Spring Advancement and Development Strategies

The Power of Perseverance

As the school calendar meanders through the month of April, as leaders, we must confront the stirring composition of competing emotions. While the euphoria of the end of the school year tickles our fancy, we also know that there are looming deadlines to meet and unfinished business to be tackled before June 30th.

An important element here is to cultivate the power of perseverance as we face the contending forces of obstacles, challenges, and unrelated obligations. Looking at Advancement and Development activities, as you create your daily and weekly tasks and strategies, you must focus intently on moving with precision—and without needless distraction; in order to complete these stated action items. 

Utilizing the Four Pillars of Advancement

At Catholic Vitality 360, as illustrated in our writings, partnerships, and leadership coaching efforts; we see tremendous value in organizing Advancement and Development year-end strategies around our Four Pillars of Advancement. Here is a brief description of each pillar:

  1. People Engagement: The ongoing process of personally engaging people in the life, mission and ministry of the school through a variety of volunteer opportunities, special events, fundraisers, alumni outreach, service projects, parishioner connections and community activities. A broad range of stakeholders are personally invited and building quality relationships is paramount. 
  2. Image and Marketing: The creation, implementation and daily execution of a comprehensive School Image and Marketing Plan is solidified, one that follows the four seasons of the year with thematic elements, events, social and digital media, responsive website, quality materials, raving fans and telling the compelling story of the school with boldness and conviction. An active Marketing Committee provides expertise, objectivity and support.
  3. Enrollment Growth: With a keen understanding of the educational marketplace and your competitive advantage, branding statements are established and realistic enrollment goals are created. As the lifeblood, heartbeat, top revenue stream and the school’s top priority, enrollment growth is everyone’s responsibility. From school tours, to shadow days, to personal interviews and a contact map for every family, this taps into our mindset that “Enrollment is Everything and Everything is Enrollment.” 
  4. Sustaining Revenue: Following the completion of the Fundraising Audit, the Advancement Office executes 3-5 quality fundraisers and a comprehensive annual giving process, that engages all school stakeholders through a variety of giving opportunities. Growing the endowment or foundation with legacy gifts should also be a priority, as well as preparing for a Capital Campaign.

Key Strategies for Year-End Success

Within each of the Four Pillars of Advancement are key strategies, duties and tasks to be completed by June 30th:

  • Pillar #1: People Engagement:
    • Strategy #1: Personally recognize all volunteers, board and committee, members, office staff, etc.
    • Strategy #2: Send thank you notes to all vendors, sponsors and business partners.
    • Strategy #3: Showcase volunteers and sponsors in school publications and on all social media platforms.
    • Strategy #4: Confirm status of all volunteer positions and service hours for the school year.
    • Strategy #5: Determine the volunteer needs and required positions for upcoming school year. Can begin invitation process.
  • Pillar #2: Image & Marketing:
    • Strategy #6: Provide updates, articles and postings on Spring sports.
    • Strategy #7: Provide updates, articles and postings on academic activities.
    • Strategy #8: Provide updates, articles and postings on graduating class, awards, farewell activities, ceremonies, etc.
    • Strategy #9: Share status of administration, faculty/staff announcements, academic updates, new building projects, academic offerings, etc.
    • Strategy #10: Announce vision and goals for next school year.
  • Pillar #3: Enrollment Growth:
    • Strategy #11: Follow-up on all prospective families.
    • Strategy #12: Conduct school tours with interested families.
    • Strategy #13: Confirm all registered families for next school year.
    • Strategy #14: Activate Raving Fan Marketing Plan for summer activities.
    • Strategy #15: Execute digital marketing campaign that focuses on generating calls, website activity and school visits over the summer.
  • Pillar #4: Sustaining Revenue:
    • Strategy #16: Conduct the Fundraising Audit and share results with staff and volunteers. Implement changes and updates for next school year.
    • Strategy #17: Finalize all giving agreements, pledges, transactions and gifts to be closed by June 30th. 
    • Strategy #18: Sends thank you notes and recognition items to all donors, sponsors and vendors following June 30th giving period.
    • Strategy #19: Prepare all fundraising reports, including expenses, revenue, volunteers hours and analysis following June 30th giving period.
    • Strategy #20: Schedule a meeting with administration to discuss the current state of fundraising areas of growth and improvement.
